Frequently Asked Questions

Does the Council recommend any clubs?

No, Worcestershire County Council does not endorse or recommend any club or organisation listed on the database.  We recommend that individuals contact the club directly before attending any meeting or event to ensure validity and authenticity.

I've forgotten my password, what do I do?

Follow the Forgotten Password link on the Edit page.  We will then ask you for your email address and security question.  You will then need to go to your email account and follow the instructions we send you.  If you are still experiencing problems please contact Customer Services who will be able to help.

I can't submit the form, why?

In most instances this will be because you have not completed all of the mandatory fields. Please complete all of the requested information and try to re-submit. If this does not work, please email Customer Services where the problem can be investigated.

I am a registered user - can I send you the details to update?

By allowing you access to your information, we ask that you update your own information to ensure that errors are minimised.

I have registered my club, what happens now?

A member of the County Council’s Customer Services Team will review and approve your entry onto the database. If there are any problems you will be contacted via the email address supplied and asked to amend or change some of the details you have entered.

How long does it take to approve my club?

We ask that you allow at least 72 hours for your club to be live on the database. If after this time your club does not show, please email Customer Services where someone will investigate the problem.  

I have been locked out of the database, how do I correct this?

A user will be locked out after entering incorrect login details 3 times in the user name and password fields.  When this happens please email Customer Services. who will be able to reset your details.

If after your details have been reset, you cannot remember your password, please follow the Forgotten Password link on the Edit page.

If you are locked out when trying to register or re-register your club, you will need to first have your details reset by sending an email to Customer Services.  Once you have heard back from us, you will need to change the randomly generated password received in the confirmation email. To do this please copy the randomly generated password from within the registration email, click the Change Password link from within the email and paste the password into the appropriate field on the form that appears.  Then select a new password, enter your email address and click the Change Password button.

Should I share my login and password with someone else in the organisation?

We suggest that you create your own user name and login, which is generic for your organisation. You are free to share this with members of your club.

I’m the new owner of the club and need to change some information. Can you tell me what is the user name and password?

Where possible, please retrieve the previous user name and password of the club’s information and login to change the details. Where you do not know the owner or the owner cannot provide login details, please register as a new user to the database and email Customer Services with the details and previous contact name, we can then assign you as the new owner of the club/society.

How do I decide what category my club fits into?

There is a category list, which will allow you to select the best possible fit. We have developed a more detailed search facility, which, in the event of a mistake, will assist in finding your club based on the title and other fields completed upon registration.  

Why can't I send you my details by post?

Transferring information from a postal form or by any other communication is prone to errors and mistakes. By allowing you access to your own information will ensure it is correct and cannot be misinterpreted.

How often do I need to login to the system to keep it live?

You will need to access your record as a minimum every 12 months. This will ensure your record remains active.

What happens if I don’t log in for some time?

After 12 months, you will receive an automatic reminder. You will be asked to check your details and amend where appropriate. A check box will need to be ticked which will ensure your record stays active. Following a second reminder, if you do not check the box, the record will be deleted.

Why do I have to enter my email address?

We need your email address to ensure we can communicate with you and to ensure that your information is not out of date. Also entering a valid email address will allow us to prevent SPAM or inappropriate clubs from accessing the database.

I don’t have a computer at home, how can I manage my club’s information?

Libraries and Worcestershire Hub Customer Service Centres across Worcestershire have computers, which are available for the public to use. Also, Library Services staff and Customer Service Adivsors, are on hand to assist should you need help.

Can I print a list of clubs for a particular area?

Yes, if you search for your area e.g. Kidderminster in the keyword search box, a full list will be returned.   By clicking the print button on the search results page, will put the list into a printable format.  Clicking File, Print from your browser menu will print the page.
